A branded notebook is one of the few promotional gifts people open every day and carry into meetings. Whether it stays on the desk or ends up in a drawer depends on details buyers rarely ask about: paper weight, binding type, cover material and how the logo is applied. This guide walks through those choices so you can send your supplier a precise brief and avoid the most expensive mistakes.

If you are looking for a wider range in which the notebook is just one item, see our logo merchandise page. Below we focus on the notebook alone, because it is the product most often ordered "almost right".

In short

  • A5 (148 × 210 mm) suits meetings and desks, A6 (105 × 148 mm) pockets and trade fairs. Both are ISO 216 sizes.
  • Paper below 80 g/m² tends to show through; 90–100 g/m² copes with ink and markers.
  • If the notebook must lie flat on the desk, choose a thread-sewn binding or spiral, not a cheap glued binding.
  • The cover material decides the decoration: PU and fabric suit debossing, cork and wood laser engraving, smooth covers UV printing.
  • For an FSC label, ask for the certificate code and check it in the FSC database; from 27 September 2026 unsubstantiated generic "eco" claims are banned in the EU.
  • Ask for a physical sample, or at least a cover material sample with the decoration, before a large order.

What people expect from a notebook as logo merchandise

In 2026 the Advertising Specialty Institute (ASI) published its new Ad Impressions Study, in which notebooks and notepads are a separate category. Of US respondents, 75% said they would use a notebook they received at least once a week, and 61% would keep it for at least a year. Among respondents in 21 European countries, notebooks ranked fifth on the list of most wanted promotional gifts (37%), and in Germany they were among the top five products.

At the same time, according to the study a notebook generates about 500 impressions over its lifetime, far fewer than a bag or a jacket. That makes sense: a notebook is a personal item seen mainly by its owner and the people in the same meeting. The conclusion is simple: a notebook is not a mass-visibility product but a personal work tool whose value comes from usability and quality. A cheap notebook that falls apart loses exactly that one advantage.

Format: A5, A6 or something in between

A-series sizes follow the ISO 216 standard: each size is half of the previous one and the aspect ratio is always √2. Three sizes are most common for notebooks.

FormatSizeBest forKeep in mind
A5148 × 210 mmMeetings, project managers, training, conference bagsMost versatile; does not fit a jacket pocket
A6105 × 148 mmTrade fairs, field work, sales staff, quick notesSmall writing area; works well as a smaller gift
A774 × 105 mmPocket pad, set with a pen or key ringMore a giveaway than a work tool
B5176 × 250 mmEngineers, designers who sketchLess widely available, ask separately

If you do not know what recipients prefer, A5 is the safest choice. If the notebook goes into a gift set with a pen and a thermal mug, check that it fits the box.

Paper: weight, ruling and colour

Grammage, or paper weight

Grammage tells you how many grams one square metre of paper weighs. Ordinary office printer paper is 80 g/m². For a notebook that is the minimum: paper guides recommend 90–100 g/m² for people who write with ink or markers, because the ink will not bleed through to the other side. Above 120 g/m² is premium territory used in high-end notebooks.

An important nuance: weight is not the only factor. A smooth coated 90 g/m² sheet can perform better than a rough 100 g/m² one. So ask for a sample and test it with the very pen you plan to give with the notebook.

  • 70–80 g/m²: cheaper, thinner block, fine for pencil and ballpoint.
  • 90–100 g/m²: the balanced choice for a business notebook, handles gel pens and ink.
  • 120 g/m² and above: prestigious, good for sketching; fewer pages, thicker notebook.

Lined, squared, dotted or blank

Lined paper is the most familiar and suits most people. Squared paper appeals to engineers and accountants. A dot grid is a flexible compromise: it gives a sense of lines without disturbing diagrams or sketches. Blank pages suit creative teams. For a mixed group, a dot grid is usually the least controversial choice.

Paper tone also shapes the impression: white is high-contrast, cream or ivory feels warmer and is easier on the eyes. Recycled paper is often greyer, which suits a brand that emphasises sustainability.

Binding: does the notebook lie flat

Binding is what buyers think about least and what bothers users most. Binding guides describe thread-sewn binding as very hard-wearing and able to open flat, but more expensive than perfect (glued) binding. Spiral and wire-o bindings also let pages lie flat, and with a spiral you can even fold the page all the way back.

BindingLies flatDurabilitySuits
Thread-sewn, hard coverYesVery goodPrestige business notebook, partner gift
Glued (perfect) bindingPoorlyAdequateLow-cost conference pad
Spiral / wire-oYes, folds backGood, but wire can bendField work, training, left-handers

Extras to specify in the quote: elastic band, ribbon bookmark, pen loop, back pocket, perforated and numbered pages. Every extra changes the price, but some (elastic band and bookmark, for example) are almost expected by users.

Cover material and matching decoration

Choose the cover material and the logo method together, because not every method suits every surface. Logotrade's services include debossing, laser engraving, UV printing and screen printing; the table below helps match them to the cover.

CoverImpressionSuitable decorationWatch out
PU (polyurethane, faux leather)Classic, prestigiousDebossing, laser engraving, UV printingDebossing and laser give a subtle tone-on-tone logo
Fabric (linen, cotton)Warm, design-ledScreen printing, debossing, embroidered patchVery fine lines can disappear on fabric
CorkNatural, distinctiveLaser engraving, screen printingPorous surface, small text reads poorly
Recycled board / kraftSimple, sustainableScreen printing, UV printing, debossingScratches and soils faster
Smooth coloured board or plasticColourful, campaign-ledFull-colour UV printing, screen printingGood when the logo has several colours

When to choose which decoration

  • Debossing: the logo is pressed into the cover without ink. Elegant and wear-resistant, but colours do not show. A good choice for a strong brand with a simple logo.
  • Laser engraving: burns the logo into the surface. Works on cork, wood and many PU covers; the resulting tone depends on the material, so ask for a test.
  • UV printing: full colour, suits photos and gradients on smooth surfaces.
  • Screen printing: a solid, durable one- or two-colour logo, especially on fabric and board.

More guidance on choosing decoration methods is available on our blog.

Personalising with names

A notebook is one of the best products for personalisation: an employee's or partner's name in the lower corner of the cover makes it personal and less likely to be passed on. Name engraving is usually a separate job for each copy, so plan time for it and send the names as a spreadsheet that someone has proofread.

FSC and the "eco-friendly" notebook: what the claim must mean

Paper is a wood product, so for a notebook the FSC label is the most relevant proof. There are three FSC labels:

  • FSC 100%: all forest-based material comes from FSC-certified forests.
  • FSC Mix: a mix of certified, recycled and controlled wood; under the percentage system at least 70% FSC or recycled input.
  • FSC Recycled: all forest-based material is recycled.

The FSC label may only be used under a valid certificate. Ask your supplier for the certificate code and check it in the FSC public database: is the certificate valid and does its scope cover this product? You will find ready options on our FSC promotional gifts and eco products pages.

Also keep the new EU rule in mind. Directive (EU) 2024/825 bans, from 27 September 2026, generic environmental claims such as "eco-friendly", "eco" or "green" unless substantiated, and a sustainability label must be based on a certification scheme or established by public authorities. If you print an environmental claim on the cover or packaging, say exactly what it means, for example "paper: FSC Recycled", not just "eco".

Example: 150 notebooks for conference speakers and partners

This example is fictional and the figures are illustrative, not Logotrade prices or lead times.

  1. Goal: a technology company is hosting a conference and wants 150 notebooks: 30 for speakers and 120 for partners.
  2. Format: A5, because the notebook goes into the conference bag with the programme and is used straight away in workshops.
  3. Paper: 100 g/m², dot grid, cream tone. A gel pen is chosen to go with it and tested on the sample to make sure the ink does not bleed through.
  4. Binding and cover: thread-sewn binding, hard PU cover in dark blue, elastic band and bookmark.
  5. Decoration: logo debossed on the cover; for the 30 speakers, their name laser-engraved in the lower corner as well.
  6. Brief: the supplier receives the quantity, format, paper preference, cover colour, logo as a vector file, the list of speaker names and the date by which the notebooks must arrive. Lead time and minimum quantity are requested in the quote.
  7. Check: before production, a digital mock-up and a cover material sample with the deboss are approved.

In Estonia, if the notebook costs less than 21 euros excl. VAT per recipient and carries a logo, it counts as a promotional gift that is free of income tax when given to non-employees (see the Estonian Tax and Customs Board guidance). A notebook given to employees is a fringe benefit, to which the 21-euro rule does not apply.

Checklist before you order

  1. Who are the recipients and where will they use the notebook (desk, field work, trade fairs)?
  2. Format: A5, A6 or other; does it fit the gift box or bag?
  3. Paper: grammage, ruling (lined, squared, dotted, blank), tone, number of pages.
  4. Binding: must the notebook lie flat?
  5. Cover: material, colour, hard or soft.
  6. Decoration: debossing, laser, UV or screen printing; logo as a vector file (AI, EPS, PDF or SVG).
  7. Extras: elastic band, bookmark, pen loop, pocket, packaging.
  8. Personalisation: spreadsheet of names, proofread.
  9. Environmental claims: FSC certificate code, precise wording of the claim.
  10. Sample and deadline: ask for lead time, minimum quantity and sample options in the quote.

Common mistakes

  • Paper too thin. In a 70 g/m² notebook every line shows through and the notebook goes unused.
  • Glued binding in a prestige notebook. If it will not stay open, it stays in the bag during meetings.
  • A fine logo on a porous cover. On cork and fabric thin lines and small text disappear; simplify the logo or choose another surface.
  • A multicolour logo as a deboss. Debossing does not carry colour; if colours are critical to the brand, choose UV or screen printing.
  • An unsubstantiated "eco" claim. From 27 September 2026 it is banned in the EU; use a specific certificate.
  • A large order without a sample. Cover tone and decoration look different on screen and in reality.

Frequently asked questions

Is an A5 or A6 notebook the better gift?

For office staff and conferences, A5 is more versatile. A6 works if the recipient is often on the move or the notebook is part of a smaller set.

What paper weight should I choose?

For a business notebook at least 80 g/m², ideally 90–100 g/m² if you include a gel pen or fountain pen. Test the sample with the same pen.

Which decoration lasts longest?

Debossing and laser engraving do not wear off, because they change the surface itself. Prints are durable too, but depend on the cover material.

Can each notebook carry the recipient's name?

Yes, the name is usually engraved or printed on each copy individually. Ask in the quote how much time this adds.

How do I make sure the FSC label is genuine?

Ask the supplier for the certificate code and check its validity and scope in the FSC database.

Is a branded notebook a tax-free gift?

In Estonia, a promotional gift with a logo to a non-employee is free of income tax up to 21 euros excl. VAT per item. Given to an employee, it is a fringe benefit.
