Most rush orders for promotional gifts are not caused by bad intentions but by a calendar that showed the event, not the ordering deadline. This guide sets out the key dates of 2027 with backward planning: when to choose the product, when to approve the design and when to place the order so the gifts arrive before the event, not after it.

When business gifts are planned at the start of the year, the budget is spread more evenly, the choice is wider and the December scramble disappears. Below you will find a month-by-month table, an example of quarterly budget allocation and a checklist you can copy straight into your calendar. The dates refer to Estonia; if you work in another country, add your own national holidays.

In short

  • Count the deadline back from the event: event, delivery, production, design approval, product choice. Always ask for the exact production time in the quote.
  • Chinese New Year falls on 6 February 2027. Many factories close for 1–3 weeks and total disruption lasts 4–6 weeks. Products made in Asia must be ordered as early as November 2026.
  • In Estonia, Independence Day is on Wednesday 24.02.2027, Midsummer (jaanipäev) on Thursday 24.06.2027 and Christmas Eve on Friday 24.12.2027.
  • Reflector season starts with the dark autumn evenings. Reflectors must carry the CE mark and a reference to standard EN 17353:2020.
  • The couriers' winter peak usually starts in early November, so Christmas gifts should be ordered in September–October.
  • Split the budget between quarters in January so the last quarter does not swallow the whole year's money.

Why an ordering calendar for business gifts saves money and stress

A branded product is made to order. The timeline consists of several consecutive steps: product choice, request for quotation, design, proof approval, production, packing and delivery. Each step depends on the previous one, and a one-day delay in design approval can shift the whole delivery.

A calendar helps in three ways:

  • Wider choice. Ordering early lets you choose products that take longer to make, such as embroidered textiles or custom packaging.
  • Better price. A rush order often means more expensive transport or a compromise on the product.
  • Fewer mistakes. With enough time, the design can be checked calmly. Check names, colours and logo version twice before approving.

Backward planning: how to calculate the deadline

Start from the event date and work backwards. The weeks below are an example for an order of average complexity, not guaranteed Logotrade lead times. The exact production and delivery time for each product is confirmed in the quote.

  1. Event – the date the gifts must be in recipients' hands.
  2. Buffer and distribution – for example 1 week for the gifts to reach the office, be packed and handed out.
  3. Delivery – ask the supplier. For goods coming from Asia this is considerably longer than for products made in Europe.
  4. Production – ask in the quote. Add time if the product is popular in that season.
  5. Proof or digital mock-up approval – for example 3–5 working days if several people need to sign off.
  6. Product choice and request for quotation – for example 1–2 weeks including budget approval.

Example: if Christmas gifts must be in the office on 10 December 2027 and the supplier offers 4 weeks of production and 1 week of delivery, the design must be approved by the end of October and the product chosen in mid-October. If the product comes from Asia, the decision must be made even earlier.

2027 calendar month by month

The table shows Estonian public holidays and typical company events. Weekdays are calculated from the 2027 calendar. "Decide by" is a recommendation and assumes a product made in Europe. For products made in Asia, add several weeks.

Dates: the list of Estonian public holidays follows ERR's overview; weekdays are from the 2027 calendar. Ask organisers for exact trade fair dates, as they change from year to year.

Special cases that change the timeline

Chinese New Year: goods made in Asia

If the product is made in Asia, Chinese New Year affects the start of 2027. According to supply-chain advisers Epic Sourcing, it falls on 6 February 2027. The official holiday usually lasts 7–10 days, but many factories close for 1–3 weeks, and including worker travel and the ramp-up, disruption lasts about 4–6 weeks in total. Experienced importers place their last pre-holiday order by early November 2026 and request samples at least 6–8 weeks before the New Year.

In practice, Asian-made products intended for Independence Day or a March trade fair must be decided at the end of the previous year. The alternative is a product made in Europe or Estonia. Always ask in the quote where the product is made, because the whole timeline depends on it.

Reflector season

A reflector is one of the few promotional products with a clear legal reason to be used. According to the Estonian Transport Administration's guide, under the Traffic Act wearing a reflector is mandatory in the dark or in poor visibility in Estonia. A reflector must be marked with the CE mark and standard EN 17353:2020. A small hanging reflector is attached at a height of 50–80 cm on the side facing traffic.

To have reflectors ready to hand out before the dark evenings begin, decide at the end of summer, and check in the quote that the product carries the required marking.

Summer days and Midsummer

In 2027 Victory Day is on a Wednesday and Midsummer on a Thursday. Many companies hold their summer days in the second half of June, so this period can be busy for textile producers and printers. If you want embroidered or printed T-shirts, caps and bags, confirm sizes and quantities in April. For T-shirts, collect employees' sizes early, because gathering sizes is what most often causes delays.

Christmas and the courier peak

In a 2022 ERR article DPD said the winter high season usually starts in early November and volumes multiply around Christmas. In December 2025, Omniva promised that a domestic parcel handed over by 20 December would reach the recipient before Christmas, while parcels ordered from Asia no longer arrived in time. If you hand out Christmas gifts yourself, plan for them to be in the office in the first days of December. If you send them by courier, allow at least two weeks for delivery.

Quarterly budget allocation

Many companies spend most of their gift budget in December because other events were not planned. Split the budget between quarters in January and lock each quarter's amount to specific events.

Example: a company with an annual budget of 10,000 euros could allocate it like this:

QuarterEventsShare (example)Amount (example)
Q1Onboarding, Independence Day, spring fairs20%€2,000
Q2Summer days, Midsummer, client events25%€2,500
Q3School start, autumn fairs, recruitment, reflectors20%€2,000
Q4Christmas gifts for clients and employees35%€3,500

When budgeting, keep the Estonian tax rules in mind. According to the Estonian Tax and Customs Board's guidance on promotional gifts, in Estonia a branded promotional gift to a non-employee is free of income tax up to 21 euros excluding VAT per item. No VAT is charged on gifts worth up to 10 euros excluding VAT; items in a set are added together. Above 21 euros, the whole cost is subject to income tax at 22/78. The limit for reception expenses is 50 euros per month plus 2% of the payroll. Gifts to employees are fringe benefits, and the 21-euro rule does not apply to them.

Annual checklist

Add these steps to your calendar as recurring reminders.

  1. January: confirm the year's list of events and the budget by quarter.
  2. January: assign an owner and a backward-calculated decision date to each event.
  3. Start of each quarter: send requests for quotation for next quarter's events.
  4. Before the summer holidays: confirm September and October orders, because decision-makers are hard to reach in July.
  5. August: order reflectors and giveaways for autumn events.
  6. September–October: confirm Christmas gifts, cards and packaging.
  7. November: collect recipients' addresses and check offices' holiday opening hours.
  8. December: review the year – what worked, what was left over and what to order earlier next year.

Example: a mid-sized company's year

Example: a logistics company with 80 employees holds five events a year: a client seminar in February, a trade fair in May, summer days in June, a reflector campaign for schools in October and Christmas gifts for 150 clients in December.

  1. In the first week of January the five events and their backward-calculated decision dates go into the calendar.
  2. Seminar gifts are chosen from products made in Europe, because an Asian order around Chinese New Year would not fit the timeline.
  3. Trade fair giveaways (bags and pens) are ordered in March together with the summer-day bags and T-shirts. One order saves time and transport costs.
  4. Reflectors are confirmed in early August and reach schools at the end of September.
  5. Christmas gifts are chosen in September, the design is approved in October and the gifts reach the office at the end of November.

The result: not a single rush order all year, and in December the team focuses on recipients and greetings rather than worrying about delivery.

Common mistakes

  • The event is in the calendar, but the decision date is not. The deadline must be calculated backwards and written down separately.
  • Forgetting Chinese New Year. An order for an Asian-made product placed in January may not arrive until March.
  • Underestimating summer holidays. In July it is hard to find someone to approve a design.
  • The whole budget for Christmas. Spring and autumn then run short or end up with rushed purchases.
  • Ordering reflectors in November. By then the dark evenings have already arrived.
  • A timeline with no buffer. One late approval or courier delay can push the gift past the event.

Frequently asked questions

How far in advance should promotional gifts be ordered?

Count back from the event: buffer, delivery, production, approval and choice. For a product made in Europe this usually means several weeks; for an Asian product, several months. Ask for the exact time in the quote.

When should Christmas gifts for 2027 be ordered?

We recommend choosing in September and approving the design in October. The courier peak usually starts in early November.

Does Chinese New Year affect products ordered in Europe?

Yes, if the product or part of it is made in Asia. Chinese New Year is on 6 February 2027 and disruption can last 4–6 weeks. Ask the supplier where the product is made.

What dates are Estonia's public holidays in 2027?

For example, New Year's Day on Friday 1.01, Independence Day on Wednesday 24.02, Victory Day on Wednesday 23.06, Midsummer on Thursday 24.06, Restoration of Independence Day on Friday 20.08 and Christmas Eve on Friday 24.12.

How should the budget be split between quarters?

Start from the events, not an equal split. For many companies the last quarter is the largest, but spring and autumn need their share too. The split in the table is only an example.

What if the deadline has already passed?

Write to us right away and state the event date. We will suggest products that can be made faster and tell you honestly whether the deadline is realistic.
