Reflector with logo: how to choose a compliant promotional reflector

During the dark season, a reflector is one of the most necessary items people in Estonia carry every day. That is exactly why a reflector with logo is a promotional gift that does not end up in a drawer: it is used daily, and your logo travels with its wearer on the street, at school and at work. For a reflector to be genuinely useful, however, it must meet the requirements. In this guide we explain what to look for when ordering reflectors and how to turn logo merchandise into a safety tool as well.

Why a reflector is one of the most useful promotional gifts in Estonia

From autumn to spring the dark hours are long, and pedestrians must be visible to drivers. A reflector is a simple way to ensure this, which is why companies, local authorities, schools and organisations hand them out every year.

The strengths of a reflector as a promotional gift:

  • Everyday use – the reflector goes along on every journey in the dark, so the logo is constantly visible.
  • Associated with care – the gift shows that your company cares about people's safety.
  • Suits a large audience – reflectors can be handed out at trade fairs, client events, schools or to employees.
  • Small and light – ideal for a mailing or as an extra in a gift set.

Reflectors belong to the small giveaways that are easy to distribute in large quantities and tie to a seasonal campaign.

What the law and the Transport Administration say

According to the guide of the Estonian Transport Administration (Transpordiamet), a pedestrian must wear a reflector when moving on the road in the dark or in poor visibility. Poor visibility means a situation in which an object cannot be distinguished from its background beyond 300 metres, for example because of fog, heavy rain or snowfall.

In Estonia this requirement applies to all pedestrians, regardless of age. That makes a reflector a gift the recipient really needs, and the gift can carry a message too: wear your reflector and be seen.

A compliant reflector: CE marking and EN 17353

Not all reflectors are equal. The Transport Administration recommends buying reflectors that bear the CE marking and a reference to the standard EN 17353:2020 and come with user instructions. These features show that the product meets the requirements set for reflectors.

For a company this means the following:

  1. Ask the manufacturer for conformity documents – the CE marking and the standard reference must appear on the product or its packaging.
  2. Make sure user instructions are included – they are part of a compliant reflector.
  3. Do not market a product without the proper markings as safety equipment – a decorative reflective item can be a nice keepsake, but it should not be presented as safety gear.

A reflector works on the principle of retroreflection: the reflective surface sends the light from car headlights back towards its source, so the driver sees the pedestrian from far away.

Types of reflectors

The right type of reflector depends on who uses it and how it is worn. Each type also offers a different area for the logo.

Hanging reflector

The classic hanging reflector is attached to clothing with a cord or clip. The shape can often be chosen to match the brand, such as a circle, heart, house or the shape of your logo. The logo is usually printed on the reflector surface or on the fastening. Pad printing is often used to mark small surfaces.

Reflective band and slap band

A reflective band is fastened around an arm, leg or bag strap. A slap band wraps itself around the wrist and works well for cyclists and children. The longer surface leaves room for a logo and a short message, which can also be printed in several colours, for example with UV printing.

Reflective vest

A reflective vest is a good choice for events, sports competitions, construction sites or groups of children. The large back panel gives the brand plenty of visibility. If the vest is used for occupational safety, ask the manufacturer which standard it meets. You will find clothing and textiles in our textile products range.

Reflective sticker

A reflective sticker is attached to a bag, bicycle, helmet or pram. It works well for additional visibility but does not replace a reflector attached to clothing. The shape and design of a sticker are flexible, and the logo can cover most of the surface.

Light sources in addition to a reflector

A headlamp or torch does not replace a reflector, but it complements it well on a dark journey. You will find practical extras for work and outdoor conditions in our tools category.

How to wear a reflector correctly

The Transport Administration's reflector guide lists a few simple rules. Feel free to add these tips to the reflector packaging or an accompanying card:

  • attach the reflector at a height of 50–80 cm, which matches the height of car headlights;
  • wear the reflector on the side facing the traffic; ideally wear one on each side;
  • do not keep the reflector in a pocket or inside a bag where it cannot be seen;
  • remove the reflector before washing clothes;
  • replace a scratched or worn reflector with a new one.

Who to give reflectors to and when

A reflector suits almost any target group, but it is worth tailoring the message and design to the recipient. Some common situations:

  • Schools and kindergartens – a reflector for children can be playful, for example shaped like an animal or character. Parents appreciate a gift that helps protect their child in traffic.
  • Local authorities and public institutions – reflectors fit safety campaigns, community days and events for older people.
  • Clients and partners – an autumn mailing with a reflector and a short greeting reminds them of your company just as the days get shorter.
  • Employees – a reflector or reflective vest fits well with a company safety day or the start of the winter season.
  • Trade fairs and events – a small, light reflector is a good giveaway that people are happy to take with them.

A reflector has the greatest impact when the recipient needs it right away: in October and November when the dark evenings arrive, or in winter when daylight is shortest. Pair the gift with a short message reminding people to wear a reflector. That way both the safety message and your brand are remembered.

Ordering and design

A good promotional reflector combines compliance with a recognisable design. When ordering, think through the shape, logo placement and colours. It is important to strike a balance between the reflective surface and the print area: the main job of a reflector is to reflect light, so the design must not reduce that function.

When designing, keep the following in mind:

  • a simple, clear logo is easier to read on a small surface than a highly detailed design;
  • the shape of the reflector can itself be a brand signature, but very fine details may get damaged in use;
  • wearing instructions and company contact details can be added to the packaging or an accompanying card;
  • if you are giving reflectors to children, choose a fastening the child can easily use on their own.

Plan your order in good time, because reflectors are mainly handed out in autumn and winter and should ideally reach recipients before the dark season begins. The best time to order is September–October. Ask for the production time and minimum quantity in the quote. If you are looking for other seasonal favourites, see our TOP 10 promotional products.

As for taxes, in Estonia the same rule applies as for other promotional gifts: a gift with a logo given to a non-employee is exempt from income tax if it costs up to 21 euros excluding VAT. Gifts to employees are fringe benefits.

Frequently asked questions

Is wearing a reflector mandatory?

Yes. In Estonia a pedestrian must wear a reflector when moving on the road in the dark or in poor visibility.

Does a logo print reduce the reflector's visibility?

It depends on the size and placement of the print area. Ask in the quote how the print affects the reflective surface. A certified product must remain compliant after the logo has been added.

What is the minimum order quantity?

The minimum quantity depends on the reflector type and the marking method. We will specify it in the quote.

Is a reflector a tax-free gift?

A reflector with a logo given to a client or another non-employee is exempt from income tax in Estonia if it costs up to 21 euros excluding VAT.
